The Truehost Reseller Panel draws on this balance whenever it asks Truehost to:

Register a new domain.

Transfer a domain in.

Renew a domain.

The payment relationship has two sides: your clients pay you; you pay Truehost. Your clients pay you through your Reseller Panel. You then pay Truehost from your reseller balance. The balance is held in the currency of the connected Truehost account, such as KES.

Because these are two separate payments, a client can pay in full while your balance is too low to cover the matching registrar transaction. The client sees a completed payment, but Truehost has not received its payment from you.

A registrar balance warning closes this gap. It emails you before the balance runs out, so you can top up in time. A warning is a preventive measure. It does not guarantee that a renewal or registration will succeed.

What Happens When the Balance Runs Out

An insufficient balance affects each type of order differently.

New registrations

The domain can remain Pending.

You receive a registration failure notice that shows your balance.

The panel may continue to accept orders and payments while the registrar transaction fails.

Paid renewals

Truehost can refuse the renewal because of insufficient funds.

The domain keeps its existing expiry date.

The domain can expire even if the client has already paid you for the renewal.

Transfers

Transfers are not started when the available balance is insufficient.

Importance of topping up your account

A customer may believe an order is complete because they paid, while the registrar transaction has not succeeded. You may not notice until the client reports a problem or a domain reaches its expiry date.

A zero balance does not make every domain unavailable at once. The risk applies to new transactions that need funds: registrations, transfers, and renewals.

Switch On the Balance Watch

The balance watch is the setting that monitors your Truehost balance and emails you when it gets low. A balance that drops after a scheduled check is not detected until the next one. To check sooner, use Check now on the dashboard (see the next section).

Two reasons of warning

These warnings mean different things:

Warning

What it means

What to do

Low balance

Your balance is at or below the warning floor.

Top up your Truehost balance.

Cannot read the balance

The panel could not get your balance from Truehost. Fix the connection first, then check the balance.

See Your Balance on the Dashboard

The Registrar balance box on the admin dashboard shows your current position at a glance. The Check now button reads the balance from Truehost immediately. Use it after you top up, or any time you want a current figure instead of the last scheduled reading.

Topping Up Your Truehost Balance

You top up in the client area of the Truehost site connected to your panel. The Reseller Panel does not process top-ups. The site truehost.co.ke is an example. Use the Truehost site your panel is connected to.

Sign in to the client area of the Truehost site connected to your reseller panel.

Complete the top-up using the payment process available on that site.

Return to your reseller panel.

Open the admin dashboard.

Click Check Now to refresh the displayed balance.

The Truehost client area and the Reseller Panel are separate. You pay in the client area. You monitor and manage orders in the panel.

Recovering Failed Registrations and Renewals

Adding funds does not necessarily complete transactions that already failed. Recover them yourself once your balance is topped up.

For pending domain registrations:

Open Domains.

Filter the domain list by Pending.

Open the affected domain.

Click Retry registration.

For renewals the client has already paid for:

Open the affected domain.

Click Renew.

The renewal is charged to your Truehost balance. Your client is not billed again.

After each retry, confirm that the registration or renewal succeeded. Check the domain’s details in the panel before you tell your client the order is complete.

Also Get Balance Alerts on Slack or Telegram

You can receive low-balance notifications through:

Slack

Telegram

A webhook

To set this up:

Go to Setup → Notification Channels.

Add the notification provider you want to use.

Configure a rule for the low-balance event.

Save, then verify that the notification works.

The same screen can also alert you when registrations or renewals fail. For provider-specific fields and webhook details, see the notification-channel documentation.

How Much Balance Should You Keep?

There is no single correct amount. Use this approach:

Estimate the cost of renewals due in the next 30 days.

Add the cost of expected new registrations and transfers.

Add a buffer for unexpected orders.

Set your warning floor based on your expected spending and how quickly you can top up.

To find renewals due in the next 30 days, go to Domains and filter by Expires.

As a guideline, set the warning floor at about one week of expected domain spending. This is a budgeting suggestion, not a technical requirement. Adjust it to your own order volume and how fast you can add funds.

Example: What Does KES 10,000 Cover?

Suppose your available balance is KES 10,000 and a .co.ke domain costs KES 999 in this example.

KES 10,000 ÷ KES 999 = 10 full transactions, with KES 10 remaining.

This is an illustration only. It is not a current price. The real number of registrations, renewals, or transfers your balance covers depends on the current Truehost cost for each extension and transaction type.

Troubleshooting

Problem

Fix

No warning, ever

Check that Registrar module is set to truehost.
